Board Report: Presentation of Board projects, activities, funding activities and budget. Please see the PPT presentation.

Open Discussion: the discussion theme was "What can GSA do for you? How can GSA be run better?" Below are the things that were brought up.

  • Council Reps: elections were held but reps were not further organized. The Board was unsatisfied with how elections were held, particularly that elections within programs were not standardized. This is an outdated Charta structure and should be changed.
  • Cooperation with Undergraduate Student Government: the Board now meets with the USG one week before the Academic Council meeting to exchange agendas. Stefan and Magda recently met with Jan Eichhorn (President USG) to discuss the image of GSA among undergrads. Graduate Club Liaison communicates with USG on club funding matters. Meetings of the GSA Board, USG, Faculty Council and Staff Council will begin as of March 24, 2009.
  • Bringing student problems to GSA Board: problems are firstly addressed within programs. GSA Board responds to universal, systematic problems. Students need to be made aware that GSA Board can provide a variety of services and assistance throughout the year.
  • Early contact and awareness: students should be made aware the structure and function of the GSA Board earlier. This year we will be assigning all incoming student Graduate Student Advisors (given that we have enough volunteers) who will help new students adjust to life at Jacobs and introduce to university politics. They will be contacted directly by GSA in his/her admissions letter. Welcome package and jungle book contents focusing on GSA will also be expanded.
  • Elections Procedure: concerns that the elections were not transparent enough and that there was a conflict of interest created when Board members who were also running were assigned to collect ballots. The Board acknowledges that the elections process could be made more efficient and transparent but the way it was run now does not in anyway conflict with the Charta or precedent created by previous Boards.
  • General communication with grad community: communication mechanisms things could be improved. One thing the Board will emphasize is the use of the 'Students at Jacobs' website, a resource for students that is being developed. Incoming grads should be instructed how to properly use email (filtering, i.e.). Use of flyers/posters should be increased.
  • Elections: see below.

Suggestions for change

  • redesign the Council Reps structure
  • send meeting agendas to 'jacobs-students' list so that undergraduates are aware of our activities
  • remind students regularly that the Board can assist them in many ways
  • add more content to Jungle Book
  • Graduate Student Advisors could be given the option of signing up for a certain number of people in his/her groups (4 or less, e.g.)
  • elect an independent elections committee to run elections (to write it into the Charta even)
  • implement electronic voting collection system
  • CSC seminar on how to use email properly
  • begin a newsletter independent of Pulse
  • more Academic events should be organized
