This FAQ gives additional information regarding the Introduction of JACOBS shared network drive.

IT'S NOT THERE! NOTHING WORKS!

The shared network drive will be available on Monday, November 30, 2009.

You need to logon anew on that day to get the J: drive (see below).

Who gets the shared network drive?

The drive is available in the campus network. Access is restricted by directory permissions. Permissions depend on organizational and project membership.

Do students have access to the shared network drive?

Yes, depending on directory permissions.

Undergraduates, too?

Yes, depending on directory permissions.

As Admin user I already have my folders on the admin server(s)!

Use of those folders is deprecated. IRC-IT will contact all departments to plan data migration.

As Faculty user I already have my folders on the faculty server(s)!

Use of those folders is deprecated. IRC-IT will contact all faculty departments to plan data migration after admin data migration has been completed.

Why this change?

Jacobs University has grown quite fast, and "organically". It is ample time to restructure and consolidate data and to get rid of legacy.

The new "server" and structure clarifies responsibility for data and eases collaboration among Jacobs members.

As a technical side note, the old servers are, well, old and unreliable (yes, there is backup!).

How do I get my data from the old admin/faculty servers to the new one?

Please wait, until IRC-IT is contacting your department to plan the data migration.

How much storage is available?

After data migration, there will be quotas.

I can't store my DVD collection/PC backup on the J: drive!

The J: drive is not a "backup" drive to store whole computer hard disk data backup sets on it. It is also not intended as a mass data archive or backup dump disk, or movie repository. Use local DVD burners or cheap USB hard drives for data backup instead.

(tick) The J: drive is a a networked drive to reliably store work documents, images, spreadsheets, etc., for shared access and collaboration.

I need storage space for my data outside the departmental scope!

Each member of the university has a personal home directory. Please store documents only relevant for you there, see Introduction of JACOBS network home drive.

I am using a JACOBS domain computer. Where is the shared network drive?

It's available as drive J: (as in "Jacobs").

I already have a drive J:!

Please change the drive mapping of your J: drive to something else. Contact Service Desk for Faculty and Staff if you need assistance.

"J:" has been chosen to most easily associate with the Jacobs name.

What's with the P: drive?

There is no Jacobs-wide notion of a P: drive. Not all Jacobs computers have a P: drive mapping, and on those that have it, it points to different targets. "The P:" drive is deprecated and should be substituted with an appropriate path on the J: drive, which is a University-wide solution.

What is a JACOBS domain computer?

Computers installed and maintained by IRC-IT are members of the JACOBS domain.

It is not possible to join the JACOBS domain on it's own, or have private or self-installed computers be joined into that domain.

(info) Not having a computer in the JACOBS domain does NOT mean, it is impossible to access JACOBS resources, e.g. the shared network drive. You do need a JACOBS domain user account to access resources of the JACOBS domain, though.

I am using a JACOBS domain computer, there is no J: drive!

Most likely, you are using a computer of Jacobs University, which is not a member of the JACOBS domain. This is most likely because that computer has not been installed by and is not maintained by IRC-IT. Please see the answer to the next question, on how to access the shared network drive.

I am using a non-domain Windows PC. How do I get the shared network drive?

Connect to \\storage.jacobs.jacobs-university.de\fileshare You will be asked a username and password. Use JACOBS\JDOE as your username (resp. what it really is), and your CampusNet password as a password. As an alternative, you can "Map Network Drive" in Windows Explorer.

(lightbulb) If you are savvy with the Windows command line, you can use the "net use" command in a similar way.

I open the Explorer, but get the Jacobs home page/server not found message, and can't find any files!

You are using the Internet Explorer. Instead, use the Explorer, e.g. by pressing WINDOWS-E (as in Windows-Explorer).

I am using a Linux system. How do I get to the shared network drive?

The same as with a non-domain Windows PC: if your CampusNet account is "JDOE", connect via SMB/CIFS to \\storage.jacobs.jacobs-university.de\fileshare Use JACOBS\JDOE as your username ((warning) escape the backslash appropriately), and your CampusNet password as password.

(lightbulb) You can use the "smbmount" command from the shell in a similar way.

Tip from K. Korte Re: Linux:

under Linux all the backslashes should be slashes meaning:
mount -t cifs -o username=JACOBS/JDOE,password=JDOESPassword //storage.jacobs.jacobs-university.de/fileshare /my/mount/point/ would be the correct command.

Tip from C. Lange Re: Linux:

here are two ways of making it work. Make sure that Samba is installed and that CIFS is supported by your kernel.

  1. GUI: Nautilus (the Gnome file manager) has a nice dialog for connecting to network drives: File → Connect to Server, and then:
    • Service type: Windows share
    • Server: storage.jacobs.jacobs-university.de
    • Share: fileshare
    • Folder: /
    • User Name: yourname
    • Domain Name: jacobs
  2.  On the command line (or create an /etc/fstab entry): mount -t cifs -o username=yourname,workgroup=jacobs //storage.jacobs.jacobs-university.de/fileshare /path/to/mountpoint

If you are using KDE, fire up Konqueror and enter the URL: smb://storage.jacobs.jacobs-university.de/fileshare.

I am using a Macintosh system. How do I get the shared network drive?

Similar to Linux.

Tip from S. Schmidt Re: Mac OSX

In Finder click on "Go", select "Connect to Server...". Then enter the path:
smb://storage.jacobs.jacobs-university.de/fileshare In the authentication dialog enter your CampusNet username and password below the domain name "JACOBS".

What is the network name of the shared network drive again?

If you are using a JACOBS domain computer with a JACOBS user account, it is mapped as drive J:

The network drive name is \\storage.jacobs.jacobs-university.de\fileshare

How secure is the shared network drive?

Security of the files depend on the permissions on directories and files as maintained by their owners.

If I look into the permissions of directories, there are other users present!

Administrators, Domain Admins, and SYSTEM are default accounts necessary for backup and maintenance purposes. If you remove these accounts from directories, backup of contained data will fail, and there will be no resilience against data loss for your data. (minus) Do not remove these accounts!

Within the "Orga" directory, holding organizational unit aka departmental directories, permissions are set for members of the respective departments. Directory administrators can change the initial permissions.

I don't have access anywhere!

That might be and depend on your membership in departments and projects.

There are no project folders!

Not yet! They will be implemented after data migration from the admin and faculty servers has completed.

There are no sub directories for the schools, Jacobs center, or the colleges!

That is upcoming. Currently, admin data is migrated, faculty will follow, then collaboration folders.

When I am at home, I can't get to my files on the J: drive!

The J: drive is only available on JACOBS computers, only if you login with your JACOBS account, and only within Jacobs University's network. Ensure to copy data to your local disk before leaving the campus. Remember to copy changes back onto the shared network drive after you returned, so that it is safe against accidental loss.

How do I get to my shared network drive from outside campus?

You can use VPN Access to connect to the Jacobs network and then work with the computer and shared network drive as described above.

Jacobs departments have a directory on a shared network drive, starting November 30, 2009!

Overview

A shared network drive is file space on a file server in the network, accessible by Jacobs members as determined by their departmental membership. It is used by department members to collaboratively work on documents, spreadsheets, images, etc. with their colleagues.

If you login to a JACOBS Windows computer with your JACOBS domain account, the shared network drive is automatically available as drive J: For other computers, it is available as a network path. (lightbulb) ...starting November 30, 2009!

Use it to store work-related departmental data instead of on local disks or in emails.

As tempting as it may be, please

DO NOT START USING THE J: DRIVE ON YOUR OWN!

Before the shared network drive can be commonly used, data has to be migrated from the old servers to the new drive.

IRC-IT is approaching the departments one-by-one to discuss, plan, and support the migration process.

Additional Info

Shared directory for every Jacobs University department

Every department at Jacobs University now has a directory on a shared network drive, where departmental data can be stored and exchanged.

(tick) The shared network drive is part of the University's backup system.

If you use a Windows computer in the JACOBS domain, and login with your JACOBS domain account (i.e., with CampusNet username and password), your shared network drive is immediately available as drive J: (as in "JACOBS drive").

(warning) If you already have a drive letter J: defined on your work computer, please change it to another letter! Contact Service Desk for Faculty and Staff if you need assistance.

(lightbulb) Data will have to be migrated from the old admin... and faculty... file servers. IRC-IT is approaching the departments one-by-one to discuss and support the migration process.

(minus) Do not start using the J: drive before discussing data migration with Service Desk for Faculty and Staff!

(lightbulb) "the admin server" and "the faculty server" will be deprecated soon, as is "the P: drive" (which really never existed in a structured way).

(info) After data migration, there will be a quota on the network shared drive.

(thumbs up) It is intended to use the J: drive for inter-departmental and research, teaching, and project-oriented data storage, sharing, and collaboration as well. This will be implemented after the departmental data migration has finished.

(plus) The shared network drive is also accessible by students, making collaboration with students in departmental work (and later: research, teaching, and projects) easier!

(warning) Because the shared network drive is accessible by a large audience, data security and protection must be taken seriously by all users!

FAQ

During the 2009/11/25/Regular server maintenance 26 Nov 2009, 7-8 am teamwork is reconfigured to use the current JACOBS active directory windows domain for user authentication and authorization instead of the legacy LDAP server.

Effects will be closer integration with CampusNet account data as before, especially:

  • names of groups to use for assigning permissions in teamwork change, see Groups to use for assigning permissions
  • alumni access to restricted content in teamwork requires the space administrator to use the "invite" functionality in the space admin menue

Existing permission groups are seamlessly migrated to the new naming scheme.

The teamwork permission group documentation and the tutorial are amended accordingly.

(tick) Account details and activation/lock status can be retrieved on the Simple Directory Search page (within campus network only).

On Thursday 26 November 2009 between 07:00 and 08:00 local Bremen time servers and network components will be updated.

Server and network operations will be unreliable. Expect unavailable servers and sudden downtimes of services without prior explicit announcement.

If you have to work on files stored on the server during that time, then before the maintenance hour copy the respective files to your local hard disk, work on it locally, and after finishing your work and after the end of the maintenance interval, copy them back onto the server.

On 18 December 2009 IRC-IT moved mailboxes of 14 users between servers to balance email server database load.

This sort of operation has been performed in the past, and went by unnoticed by users.

Unfortunatley, this time, due to the unusual amount of stored items in the users' mailboxes, the move operations took surprisingly long, and during that time, affected users weren't unable to access their mailboxes!

The overall operation took more than six hours, individual move times ranged from 25 minutes up to three hours for a single mailbox.

In the future, this sort of mailbox move will be performed out of regular business hours.

The server admin01 encountered a malfunction this morning at 08:10 AM.
The malfunction was caused by the PCI System of the machine.

Since 09:20 AM the server is up and running again.
