(tick) In the following, the word "mailbox" relates to the sum of these features, which are bundled into the user's "mailbox".

Eligibility

Every JACOBS university member with an active CampusNet account and a "@jacobs-university.de" email address has access to JACOBS Email.

Account Information

Access to the mailbox, including email, calendar, contacts, etc. is with the CampusNet username and password, also known as JACOBS user account.

Please note that the email address is different from the username. The email address has a dot in it, the username doesn't.

Please check with the CampusNet team to deal with lost passwords.

Vacation Messages

Vacation messages can be set either within Outlook connected to Exchange, or by using the web interface.

It is possible to set an interval for the message, so can be used way before being away.

As Jacobs Email is accessible world-wide, vacation messages can also be set while off campus.

Mobile Client Configuration Information

You can use the Microsoft Outlook App on Android (get it in the Google Play Store) or on iOS (get it in the Apple App Store).

Login as described in Microsoft Office 365 for Jacobs University.

Client Configuration Information

The recommended way of access is to use an English-language version of Microsoft Outlook as an email client, but any other client will work.

(tick) AutoDiscover is available, making manual configuration usually unnecessary.

If you are logged in to a JACOBS computer while starting Outlook the first time, it automatically sets up email based on your JACOBS login without any manual configuration requirement.

To manually configure an Exchange connection, which is the recommended connection type, use

The Email Address campusnetusername@jacobsuniversity.onmicrosoft.com is only used during setup, to ensure that the mail client finds the settings automatically (e.g. Thunderbird, Outlook).

(lightbulb) For security reasons, only the secure variants should be used, i.e. SSL for incoming and TLS for outgoing emails. For convenience, the unsecured protocols are still accepted, but strongly discouraged.

If manually configuring Outlook access to Exchange, XMLRPC over HTTPS is the recommend setting. Please refrain from using MAPI access, which is deprecated.

(warning) The system requires authentication using TLS before sending!

(info) Depending on the client used, not all features are available.

Permissions

It is possible to grant access to mailbox information to other JACOBS domain users.

By default, only the user has access to his/her mailbox, though the free/busy information, without further details, is available to any other JACOBS domain user.

Access to information can be shared within the JACOBS domain community by standard Windows domain access permission mechanisms.

Additional Information

  • Single emails are limited to 100 MB in size (outside campus such huge emails have a high chance of not being transported or delivered!).
  • Mailboxes are limited to 50GB. Email notifications will be found in mailboxes approaching the limit. If the threshold limit is exceeded, only reading and deleting emails is possible, no more sending. If the hard limit is reached, incoming emails will be refused.
  • Jacobs University is using "grey listing", meaning that delivery of emails from recipients not received emails from lately will be delayed. The delay amount depends on THE SENDER of the email, hence is nothing Jacobs University can determine.
  • Relaying emails, i.e. sending with a non-jacobs email address to a non-jacobs email address via SMTP is possible, though only after using "authentication before sending".
  • VPN Access is not necessary for access to Jacobs Email.
  • Jacobs university IS blocking emails containing recognized viruses.
  • Jacobs University IS NOT blocking spam emails.

    Will sender or recipient be informed?

    1. The sender receives a notice by means of SMTP's non-delivery-notification.

      Jacobs University's mail servers check the email content before final acceptance of the mail transmission. If the mail contains a virus detected by the used scanners, the SMTP dialogue is answered with a permanent failure and the transmission is discarded.
      According to the SMTP-Protokol the sending mail server has to deliver the non-delivery-notification to the originator of the mail.

  2. In the Outlook Android app version 3.0.55 instead of having one field for "Domain" and another one for "Username", as shown in the screenshot (OutlookExchangeAndroid.png), there a unique field "Domain\Username". In this case, the user from the example would type "jacobs\mmusterfra".
