Dear new computer user at IUB,

welcome to IUB and it's rich and diverse IT world!

IRC-IT as the central IT department of IUB provides you with a [wide array of technology and services] in the area of information technology and telecommunication at IUB.

These pages will give you the most important information to get you started using our services and technology. Also, most relevant procedures and policies are laid out, please consider them carefully. IUB and especially IRC-IT is still an evolving environment. Please expect changes in service and infrastructure during your stay.

Upon your arrival at IUB, you will receive several logins:

Microsoft Windows Domain Account

You will have to pick up the login information at the Service Desk for Faculty and Staff by identifiying yourself with an official document. Opening hours and location to pick it up can be found on the page Service Desk for Faculty and Staff.

Depending on your IUB membership, the Windows domain your account belongs to will be:

Employee Status

Windows Domain

Account Expiry

Admin member


6 months

Faculty or non-admin staff member


3 months

Graduate or Guest member


3 months

You will need this account to login to your PC/Laptop.

On the login screen, ensure that you select the appropriate domain in the selection box.

You will also need this account to print on network-based printers.

The password can be changed by either using your PC/Laptop (hit "CTRL-ALT-DEL", click "Change Password...") or by following How to change the Windows domain password from the command line. There is also a Windows computer available at the Service Desk for Faculty and Staff which you can use during office hours to change your Windows domain password.

Admin Email

Only IUB's administrative staff members will have this email account. It is reachable only from within the admin network.

Access to that mail box is usually done with the Microsoft Outlook Mail Client, as it also enables using the calendar and delegating rights on Emails, Contacts, and the Calendar.

Two Mailboxes for Admin Members

Admin members have two mailboxes! Ensure to read both!

To access the admin email server from outside the admin network, use VPN Access. You can either

Access to admin email via web interface requires login to the Exchange server with the "IUHB01" Windows domain account. If the Microsoft Internet Explorer is used to access the web interface, login is done transparently.

You can change your admin email password by changing your Windows domain password as described above.

Client Configuration

The usual setup at IUB for admin members is to have both mailboxes, the admin email and the IUB Email (see below), be retrieved and integrated by the same Microsoft Office client program.

The Exchange server to configure in Microsoft Outlook is "". Logon credentials are taken transparently from your Windows login if you used your Microsoft Windows domain account as described above.

If you are using the Exchange Server Web Interface to access your emails, the username to enter is your Windows user name and the associated password as decribed above. It does not have a dot in it!

IUB Email

You will have an Jacobs University Email adddress, which has a dot in it and ends with "".

You will have to pick up the login information at the Service Desk for Faculty and Staff by identifiying yourself with an official document. Opening hours and location to pick it up can be found on the page Service Desk for Faculty and Staff.

IUB Email passwords will not be send by email or by post.

You can change your Jacobs University Email password by following [How to change the IUB Email password].

Contrary to popular belief, IUB is not filtering emails for spam. See [How to configure IUB Email for SPAM filtering] for the reason and how to set it up yourself.

Client Configuration

To configure Microsoft Outlook to access Jacobs University Email, follow the quick guide at [How to configure MS Outlook for IUB Email] or the [Configure MS Outlook 2000 for IUB Email Tutorial] with pictures.

Admin members will have two email accounts configured, one for the admin Exchange server "" as described above, and one for Jacobs University Email.

Mailing Lists

Each non-student member of IUB is member of the mailing list "iub-users" with his/her Jacobs University Email address. This list is mandatory to read, it is the official communication channel of IUB to it's non-student members. It is a moderated list to ensure, that only IUB representatives send out information. Not knowing content of that list is not acceptable!

Mandatory Mailing List

"iub-users" is a mandatory mailing list to read. Emails on that list have "IUB_OFFICIAL" in the subject line.

In addition, each new IUB member is member of the mailing list "iub-talk" for various chit-chat, and "iub-events" to propagate events on and off campus. Both lists are not moderated and free to post on for each IUB member.

You might want to setup filters in your email client or on the Jacobs University Email mail server via the web interface

Lists are usually not administrated by IRC-IT. If you browse to a mailing lists's information page, in the footer is the list of administrators' addresses. Please contact them upon inquiries.

Admin members receive emails on mailing lists in their Jacobs University Email email box, not their admin email box.

CampusNet User Name

You will receive the login information by internal mail in a closed envelope.

CampusNet is also known as IUB's "University Information System". Your CampusNet user name usually consists of the first letter of your first name and then your lastname, up to 10 characters. There are special rules for handling conflicts. You received your CampusNet user name and password upon your start of membership at IUB on paper.

If you are unsure, what your CampusNet user name is, or if you have an account at all, you can find out yourself by following [How to know your CampusNet user name].

If you ensured that you have a CampusNet account, but don't remember your password, you can set a new password for yourself by following [How to set a new CampusNet Password]. You need to have Jacobs University Email working for you.

This works only on campus. You will have to use VPN Access for off-campus access to CampusNet.

Please note that after changing your CampusNet password it will take up to 30 minutes until other systems will be accessible with a new password.

Some IUB members will also receive a CampusNet Client password, which is different from the CampusNet Web password!

CampusNet accounts will not work before the date of begin of employment. Also, it might take up to three weeks from the personnel department receiving a signed work contract until a CampusNet account is available. Please plan ahead.


Usually, IUB members have a telephone available. A PIN code is used to access the telephone menue. There is also a web interface to the "Xpressions" system to access the attached voice box, forward fax messages, configure the phone etc.

You will get the telephony PIN from your predecessor or team assistant.

It is not possible to plug in any consumer device. Contact Service Desk for Faculty and Staff if you require a non-standard device.

Network Access

IUB's network is separated in various subnets.

Generally, there is no pre-requisite for connecting a device. Use "Automatic Configuration" or "DHCP Configuration" for getting network parameters of IUB upon connection.

Do not use hard-wired IP-addresses!

Also, WLAN access is possible without prior registration. See [WLAN Access] for details and [WLAN Access Credentials] (requires login with CampusNet user name) for the shared secrets.

It is not acceptable for students to be connected to the admin network without close supervision.

VPN Access

Some services, like CampusNet, are only available while connected to IUB's network. If you are off campus, you can use VPN Access to access those servics. The VPN account is the same as your CampusNet account.

It is also strongly recommended to use VPN Access if you are transmitting sensitive information via WLAN.

Regarding IT operations, the following policies are of particular relevance:

If you would like to operate your own, private computer within IUB's network, that is possible without prior registration. Though, you are obliged to follow the [Requirements for Use of Private Computers in IUB Network].
