IRC-IT as the central IT department of Jacobs University provides you with a [wide array of technology and services] in the area of information technology and telecommunication at Jacobs University.

These pages will give you the most important information to get you started using our services and technology. Also, most relevant procedures and policies are laid out, please consider them carefully. Jacobs University and especially IRC-IT is still an evolving environment. Please expect changes in service and infrastructure during your stay.

First Steps Upon Arrival

The first steps, IT-wise, when you arrive at Jacobs University are:

  1. Pickup your domain account and email account at IT Service Desk.
  2. Login to your computer.
  3. Setup your email client.
  4. Set yourself a CampusNet password.

IT Service Desk opening hours are 10:00 to 11:00 (Tue-Fri) and 15:00 to 16:00 (Mon-Fri), the office is CC 3-255, in the Campus Center, elevator button "2". You have to bring a passport or Personalausweis to identify yourself.


Upon your arrival at Jacobs University, you will receive several logins:

Windows Domain Account

You will have to pick up the login information at the Service Desk for Faculty and Staff by identifying yourself with an official document, e.g. passport. Opening hours are 10:00 to 11:00 (Tue-Fri) and 15:00 to 16:00 (Mon-Fri), the office is CC 3-255, in the Campus Center. Depending on your Jacobs University membership, the Windows domain your account belongs to will be:

You will need this account to login to your PC/Laptop.

On the login screen, ensure that you select the appropriate domain in the selection box.

You will also need this account to print on network-based printers.

The password can be changed by either using your PC/Laptop (hit "CTRL-ALT-DEL", click "Change Password...") or by following How to change the Windows domain password from the command line. There is also a Windows computer available at the Service Desk for Faculty and Staff which you can use during office hours to change your Windows domain password.

Admin Email

Only Jacobs University's administrative staff members will have this email account. It is reachable world-wide.

To access the admin email server from outside the admin network, you can either

Web Address for Admin Email

Access to admin email via web interface requires login to the Exchange server with the "IUHB01" Windows domain account. The username to enter is only the account name, without the domain prefix.

You can change your admin email password by changing your Windows domain password as described above, or use the web interface to do so.

Client Configuration

Admin users don't have to configure their email client upon first use. The information given here is for reference.

The Exchange server to configure in Microsoft Outlook is "". Logon credentials are taken transparently from your Windows login if you used your Microsoft Windows domain account as described above.

If you are using the Exchange Server Web Interface to access your emails, the username to enter is your Windows user name and the associated password as described above. It does not have a dot in it!

The email address external users will use to send emails to you can be found in the Jacobs University directory at or by searching for your data at (internal).

Jacobs University Email

If you are not an admin member, you will have an Jacobs University Email address, which has a dot in it and ends with "@jacobs-university".

You will have to pick up the login information at the Service Desk for Faculty and Staff by identifying yourself with an official document, e.g. a passport. Opening hours are 10:00 to 11:00 (Tue-Fri) and 15:00 to 16:00 (Mon-Fri), the office is CC 3-255, in the Campus Center. Jacobs University Email passwords will not be send by email or by post and will not given on the telephone.

Contrary to popular belief, Jacobs University is NOT filtering emails for spam. See [How to configure Jacobs University Email for SPAM filtering] for the reason and how to set it up yourself.

Client Configuration

To configure Microsoft Outlook to access Jacobs University Email, follow the quick guide at How to configure MS Outlook for Jacobs University Email or the How to configure MS Outlook 2000 for Jacobs University email with pictures.

Mailing Lists

Each non-student member of Jacobs University is member of the mailing list "jacobs-users" with his/her Jacobs University Email address. This list is mandatory to read, it is the official communication channel of Jacobs University to it's non-student members. It is a moderated list to ensure, that only Jacobs University representatives send out information. Not knowing content of that list is not acceptable!

Mandatory Mailing List

"jacobs-users" is a mandatory mailing list to read. Emails on that list have "JACOBS_OFFICIAL" in the subject line.

In addition, each new Jacobs University member is member of the mailing list "jacobs-talk" for various chit-chat, and "jacobs-events" to propagate events on and off campus. Both lists are not moderated and free to post on for each Jacobs University member.

You might want to setup filters in your email client or on the Jacobs University Email mail server via the web interface

Lists are usually not administrated by IRC-IT. If you browse to a mailing lists' information page, in the footer is the list of administrators' addresses. Please contact them upon inquiries.

CampusNet User Name

[CampusNet] is also known as Jacobs University's "University Information System". Your CampusNet user name usually consists of the first letter of your first name and then your lastname, up to 10 characters. There are special rules for handling conflicts.

You will get you CampusNet account and password via house snail mail, or from your office of the Dean.

If you are unsure, what your CampusNet user name is, or if you have an account at all, you can find out yourself by following [campusnetstudents:How to know your CampusNet user name].

If you ensured that you have a CampusNet account, you can then set a new password for yourself by following [campusnetstudents:How to set a new CampusNet Password]. You need to have Jacobs University Email or Admin Email working for you to receive the link and password.

Please note that after changing your CampusNet password it will take up to 30 minutes until other systems will be accessible with the new password.

Some Jacobs University members will also receive a CampusNet Client password, which is different from the CampusNet Web password!

CampusNet accounts will not work before the date of begin of employment. Also, it might take up to three weeks from the personnel department receiving a signed work contract until a CampusNet account is available. Please plan ahead.


Usually, Jacobs University members have a telephone available, including a voice box. To access the voice box, dial 4900; a PIN code is required.

In addition, there is a web interface to the "Xpressions" system to access the voice box, forward fax messages, configure the phone etc. A password is used to access the Xpressions system.

You will get the voice box PIN and the Xpressions password from your predecessor or team assistant. Please contact Service Desk for Faculty and Staff, if the PIN or password can not be retrieved.

It is not possible to plug in any consumer device. Contact Service Desk for Faculty and Staff if you require a non-standard device.

Online Budget Information (OBI)

If you are responsible for a cost center, you will have to use Jacobs University's Online Budget Information (aka OBI) system. See Business Administration's page [policy:OBI - Online Budget Information] for more information.

Network Access

Jacobs University's network is separated in various subnets.

Generally, there is no pre-requisite for connecting a device. Computers issued by IRC-IT are correctly pre-configured. If you bring your own computer, use "Automatic Configuration" or "DHCP Configuration" for getting network parameters of Jacobs University upon connection.

Do not use hard-wired IP-addresses!

Also, WLAN access is possible without prior registration, but requires login with the CampusNet account. See [WLAN Access] for details.

It is not acceptable for students to be connected to the admin network without close supervision.

VPN Access

Some services, including access to third party digital resources, are only available while connected to Jacobs University's network. If you are off campus, you can use VPN Access to access those servics. The VPN account is the same as your CampusNet account.

It is also strongly recommended to use VPN Access if you are transmitting sensitive information via WLAN.

Regarding IT operations, the following policies are of particular relevance:

If you would like to operate your own, private computer within Jacobs University's network, that is possible without prior registration. Though, you are obliged to follow the Requirements for Use of Private Computers in Jacobs University Network.

is also used for providing collaboration space for courses. At the beginning of a semester, a workspace will be created for each course, and instructors and students are automatically enlisted. It can be used for providing additional teaching material in excess to CampusNet, for group work, as a calendar, bookmarks, etc.
