Shibboleth IdP updated

We have updated our local Shibboleth IdP to a newer version. It looks more light and offers new features enabling more external services.

Shibboleth is a federated user authentication scheme. It enables Jacobs University Members to access Internet web services of third party Service Providers, who use Shibboleth for federated user authentication, e.g. our library's e-book provider or the video conferencing service of the DFN.

Microsoft Forms and Sway as part of our Microsoft Office 365 for Jacobs University offering has been enabled for employees. 

Forms is a simple way to create web-based forms to collect input from users. Results are stored as Excel files online and for download.

Sway is a web-based presentation tool resulting in shareable and more visual presentations than the usual Powerpoint slideshows.

Due to a misconfiguration our students received a more generous email mailbox quota than planned for some time, 1,5GB instead of 1GB. Fixing this misconfiguration let to some of our students no longer be able to use their mailbox, as they were now over the new (old) quota.

To fix this situation, and to say we are sorry, we increased the mailbox quota for all students to 2GB!

To further enhance our email service, we will migrate all student mailboxes to Exchange Online as part of our Microsoft Office 365 for Jacobs University service in the near future. This will increase the quota even further to 50GB and give all the benefits of Microsoft's data centers.

We do have a data processing agreement with Microsoft according to EU standard model clauses checked by our Datenschutzbeauftragter (Data Protection Officer). However, the Exchange Online mailboxes will no longer be included in our local backup.

After January 14, 2020, Microsoft will no longer provide security updates or support for PCs running Windows 7. Use of Windows 7 (or even older Windows versions) beyond that date is not advised, as it will pose a security risk to yourself and Jacobs University. You will need to move to a supported and maintained operating system before that date.

Irrespective of end of support, due to technical constraints Windows 7 can no longer be installed on current standard hardware of Jacobs University. This means, e.g., if you have a particular lab software running on Windows 7 and the computer breaks, the replacement computer will only run Windows 10. Please ensure, that the software you work with can run on Windows 10. e.g. by updating to a newer version of the software.

To protect Jacobs University's data, please be reminded that university data needs to be stored on central servers. This ensures data safety even if the local computer breaks and cannot be restored. Central servers are the J: drive (see FAQ shared network drive at Jacobs), the H: drive (FAQ network home drive at Jacobs) or OneDrive for Business (see Microsoft Office 365 for Jacobs University).

Today, emails are being delivered to Jacobs University members from fake email addresses looking like names of members of our leadership. Please make sure you are only replying to legitimate emails coming from @jacobs-university.de. If you are unsure, contact the impersonated person directly instead of replying to the fake email.

Also, phishing emails are being received at Jacobs University trying to coerce you into entering your login data to web sites under the attacker's control. Jacobs University is continuously facing huge amount of spam, scam and phishing emails (and telephone calls), please be vigilant.

NEVER EVER enter your Jacobs University username or password at web sites not from Jacobs University.

According to recent news, publisher Elsevier has leaked usernames, passwords, and email addresses of some of their users, see this article for details.

This might be relevant for users, who have personal accounts at, e.g., Science Direct, Mendeley, Scopus, Evolve, Knovel, Reaxys, or ClinicalKey.

If you are affected, you will receive a notification from Elsevier to change your password including instructions.

You should change your password with these services anyway, to be sure in case the notification doesn't reach you.

If you are affected by this leak, and you use the same password at other services, you should change your passwords at those services, too.

Please be reminded to NEVER use the same password at different services, as leaked passwords WILL be tried on other accounts and services!

You can use tools like KeePass to manage passwords across sites.

You will not be affected, if you created your account via Shibboleth, but you might have another account with Elsevier, which might be affected.
